Privacy Policy

1. Introduction

Art6ix (“Art6ix,” “we,” “our,” or “us”) respects your privacy. This Privacy Policy explains how we collect, use, disclose, and protect information when you use our website, apps, and related services that help people discover and share events (collectively, the “Service”). If you do not agree with this policy, please do not use the Service.


2. Information We Collect

2.1 Account Information

When you create an account, we collect your name, email address, and basic profile details you choose to provide (biography, social or website links, profile photo, and a URL-friendly username/slug). If you sign in through Google OAuth, we receive your name, email address, and profile photo URL from Google. If you sign in with email and password, your password is hashed and managed entirely by Firebase Authentication and is never accessible to Art6ix application code.

2.2 Event & Submission Content

When you submit or edit an event, we collect the event title, description, dates and times, timezone, venue and organizer associations, artist associations, tags, categories, cover image, gallery images, external links, ticket links, and free/paid designation. This content is stored indefinitely unless deleted by you or an administrator.

2.3 User Activity Data

We collect information about how you interact with the Service, including events you favourite, ratings you submit (1–5 stars), events you create or edit, and your view history as reflected by event view counts.

2.4 Images & Uploaded Files

Images you upload (profile photos, event cover images, gallery images) are stored on Amazon Web Services (AWS) S3. Uploads are limited to 5 MB per file. We store a reference key to each uploaded file in our database.

2.5 Usage & Device Data

We automatically collect log data such as IP address, browser type and version, device identifiers, pages viewed, referring URLs, and timestamps when you access the Service.

2.6 Location Data

Our interactive map includes a “Locate Me” feature that uses your browser’s geolocation API. This location data is used solely to centre the map on your position within your browser session. We do not store, log, or transmit your precise GPS coordinates to our servers.

2.7 Contact & Support Forms

If you submit a contact, bug report, tier inquiry, or invite request form, we collect the information you provide in those forms. Public forms include a honeypot anti-spam field; we do not collect data from that field.

2.8 Cookies & Similar Technologies

We use cookies and similar technologies for essential functionality (e.g., authentication sessions), analytics, and remembering your preferences.

Note: Art6ix does not collect or store payment card details, government-issued identification, or precise GPS location. The Service does not process payments of any kind.


3. How We Use Information

  • Provide, operate, and maintain the Service.
  • Display events, venues, artists, and organizers you choose to share.
  • Authenticate your identity and manage your account and sessions.
  • Enable features such as favouriting events, rating events, exporting events to external calendars, and managing your dashboard.
  • Process and deliver form submissions and support requests via email.
  • Improve the Service, including troubleshooting, analytics, and research.
  • Communicate with you about updates, security alerts, and support.
  • Protect against fraud, abuse, and violations of our Terms of Service.
  • Comply with legal and regulatory obligations.

4. AI-Powered Features

Art6ix administrators may use AI-powered tools to discover and import event data from publicly available external sources. These tools run on AWS Lambda and process publicly available gallery and event information to extract structured event data. This feature is used solely for content curation by administrators and does not process personal user data. Imported event data is reviewed by an administrator before being published on the Service.


5. Legal Bases (EEA/UK Users)

If you are in the EEA or UK, we process personal data where we have a legal basis, such as consent, contract performance, legitimate interests (e.g., to secure and improve the Service), or compliance with law.


6. Sharing of Information

  • Service providers. We use the following third-party service providers who process data on our behalf under appropriate safeguards:
    • Firebase (Google) — user authentication, session management, and database (Firestore).
    • Amazon Web Services (AWS) — image and file storage (S3) and serverless compute for AI-powered event discovery (Lambda).
    • SendGrid (Twilio) — transactional email delivery for support and contact forms.
    • Leaflet / OpenStreetMap — map tile rendering. Only map tile images are fetched; no personal data is transmitted to OpenStreetMap.
  • Public content. Event listings, venue profiles, artist profiles, organization profiles, and user profiles you mark as public may be visible to anyone who uses the Service.
  • Calendar export. When you export an event to Google Calendar or download an .ics file, event details (title, dates, location, description, and link) are included in the export. Google Calendar exports open a Google-hosted URL in your browser; no data is sent from our servers to Google for this feature.
  • Legal disclosure. If required by law, regulation, or valid legal request, or to protect the rights, safety, or property of Art6ix, our users, or the public.
  • Business transfers. In connection with a merger, acquisition, or asset sale, your information may be transferred as permitted by law.

We do not sell your personal information to third parties.


7. Data Retention

We retain personal data only as long as necessary to provide the Service, comply with our legal obligations, resolve disputes, and enforce our agreements. Event content is stored indefinitely unless deleted by the creator or an administrator. We may retain de-identified or aggregated data for analytics.


8. Your Rights

  • Access and edit your profile information at any time through your account settings.
  • Delete events you created from your dashboard.
  • Remove favourites and ratings at any time.
  • Request account deletion by contacting us at the email address below. Upon deletion, we will remove your personal data in accordance with applicable law, subject to any data we are required to retain for legal or compliance purposes.
  • Export your data, where technically feasible.
  • Object to or restrict certain processing, or withdraw consent where applicable.

9. Security

We use reasonable administrative, technical, and organizational measures to protect personal data, including security headers (Strict-Transport-Security, X-Content-Type-Options, X-Frame-Options), HTML sanitization to prevent cross-site scripting, server-side authentication verification, and path traversal protection on file serving endpoints. Passwords are hashed and managed entirely by Firebase and are never exposed to application code. However, no system is entirely secure, and we cannot guarantee absolute security.


10. Children’s Privacy

The Service is not directed to children under 13 (or under 16 where applicable law requires). We do not knowingly collect personal data from children. If we learn that we have collected personal data from a child without appropriate consent, we will take steps to delete that information.


11. International Data Transfers

Your information may be processed and stored in Canada, the United States, or other countries where our service providers operate. Where required, we use appropriate safeguards for cross-border transfers of personal data.


12. Changes to This Policy

We may update this Privacy Policy from time to time. We will post the updated version with a new “Last updated” date. If changes are material, we will provide additional notice as required by law.
